1. Who we are

B BINARY SA, a company registered in Greece, operates the Mono Works AI helpdesk platform. For personal data processed through our website and for the accounts of our own customers, B BINARY SA acts as the data controller. Where our customers use Mono Works to support their own end users, the customer is the controller of that support data and we act as their processor.

2. Personal data we collect and why

  • Account data (name, email address, company name, login credentials, role) — to create and administer your account and workspace. Legal basis: performance of a contract.
  • Support content (conversation messages, help articles, attachments, contact details customers provide) — to deliver the Service. Legal basis: performance of a contract.
  • Usage and telemetry data (pages viewed, features used, AI credit consumption, timestamps) — to operate, secure, and improve the Service and to meter billing. Legal basis: legitimate interests and contract performance.
  • Device and technical data (IP address, browser and device identifiers, logs) — for security, fraud prevention, and diagnostics. Legal basis: legitimate interests and legal obligation.
  • Support and marketing communications (messages you send us, email preferences) — to answer enquiries and, where you have opted in, send product news. Legal basis: legitimate interests and consent.

2A. Third-party personal data

When our customers use Mono Works to collect, store, or process personal data relating to their own customers, employees, or other third parties, they act as the data controllers, and B BINARY SA acts as the data processor on their behalf.

Our customers are responsible for establishing an appropriate legal basis for processing such data, providing their own Privacy Notice, complying with the GDPR and other applicable data protection laws, and ensuring that they have the necessary rights and permissions to collect and process the personal data they submit to the Service.

B BINARY SA processes such personal data on behalf of its customers and in accordance with their documented instructions and the applicable Data Processing Agreement.

3. Who we share data with

  • Service providers and subprocessors — cloud hosting, database and storage providers, AI model providers, email delivery, and analytics tooling, acting on our instructions.
  • Viva.com (Viva Payments), our payment processor, for card payments, recurring charges, and refunds. B BINARY SA remains the seller of record and is responsible for invoicing and tax compliance.
  • Professional advisers — legal, accounting, and audit advisers where necessary.
  • Authorities — where required by law or to establish, exercise, or defend legal claims.

We do not sell personal data.

4. International transfers

Some of our providers process data outside the EEA. Where that happens we rely on adequacy decisions or EU Standard Contractual Clauses together with appropriate technical and organisational safeguards.

5. Retention

We keep account and support data for as long as your account is active and for up to 12 months after closure, unless a longer period is required for legal, tax, or accounting obligations (typically up to 10 years for invoices). After that, data is deleted or anonymised.

6. Your rights

Under the GDPR you have the right to access, rectify, erase, restrict, or port your personal data, to object to processing based on legitimate interests, and to withdraw consent at any time. Write to privacy@monopos.com and we will respond within one month. You may also lodge a complaint with the Hellenic Data Protection Authority or your local supervisory authority.

7. Security

We apply appropriate technical and organisational measures, including encryption in transit, encryption at rest with our hosting provider, row-level access controls that isolate each company's data, role-based permissions, and access logging.

8. Cookies and local storage

We use strictly necessary cookies and browser storage to keep you signed in, remember your language preference, and protect against fraud. These are required for the site to function. If we introduce analytics or marketing cookies, we will ask for your consent first and give you a way to change your preferences at any time. You can also clear or block cookies in your browser settings.

9. Changes

We may update this notice as the Service evolves; we will post the revised version here and update the date above.
